Polycom VVX Phones with Microsoft Skype for Business (Teams Interoperability) Quick Start Guide

These Quick Tips apply to VVS 201, 300, 301, 310, 311, 400, 401, 410, 411, 500, 501, 600 and 601 business media phones running Polycom UC software 5.7.0 or later and signed into Polycom with the Skype for Business Server. Screens will vary between models.

Disclaimer: The Polycom VVX Phones with Microsoft Skype for Business are intended to work in interoperability with Microsoft Teams. As such, some functionality will not work as intended.

Getting Started & Calling

Sign into Skype for Business

You can sign into the phone using your Skype for Business login credentials.

To sign into Skype for Business:

  1. Press the SignIn soft key.
  2. Complete the required sign-in fields with your login credentials.
  3. Press the SignIn soft key. Your line shows as registered.

To sign out of Skype for Business:

  1. Press the SignOut soft key.

You can enter information and edit fields using the dial pad keys on the phone console or using the onscreen keyboard on VVX 500/501 and 600/601 phones.

Sign Out of Skype for Business

If you are signed into Skype for Business on a public phone, make sure you sign out of your account after you finish using the phone. After you sign out of Skype for Business, you cannot call or view your Skype for Business contacts. However, you can still use other phone features.

  1. Press the Sign Out soft key or select Settings > Features > Skype > Sign Out.

Locking Your Phone

Consider locking your phone if you want to:

  • Prevent unauthorized outgoing calls.
  • Prevent people from viewing or modifying phone information, such as your directory, call lists, or favorites.

When your phone is locked, you can:

  • Place outgoing calls to a contact, unless your system administrator restricts your phone to placing calls to emergency and authorized numbers only.
  • Answer incoming calls.

To Set a Lock Code for your Phone:

When you sign into your Skype for Business account on your phone, you are prompted to set a lock code that includes 6 to 15 numbers, as shown next. After you set a lock code, you can use the code to unlock your phone.

  1. Enter at least a four digit number for your lock code.
  2. Confirm your lock code. Your lock code is set, and you can use your lock code to unlock your phone.

Lock Your Phone:

After you create a lock code, you can lock your phone anytime you leave your desk. Your phone also automatically locks after your phone is idle for a set amount of time, which is set by your system administrator.

Choose one of the following options to lock your phone:

  • Select the Lock soft key.
  • From the Home screen, select Lock.
  • Navigate to Settings > Basic > Device Lock, then select Lock Now.

Change Your Lock Code:

You can change your lock code at any time from your phone.

  1. Navigate to Settings > Basic > Device Lock > Change Lock Code.
  2. Enter your current lock code, a new lock code, and confirm your new lock code.
  3. Select Submit.
Calling

Placing Audio Calls

VVX 201 phones can manage a maximum of 8 active, incoming, and held audio calls at a time. VVX 300 series, 400 series, 500 series, and 600 series phones can manage a maximum of 24 active, incoming, and held audio calls at a time. However, you can have only one active call in progress with numerous other incoming calls or calls on hold on all phones. Additionally, your system administrator can set up your phone to have up to six lines with unique extension numbers, or the same extension number as other lines on your network.

The Dialer enables you to enter a number to place a call and displays a list of previously placed calls. As you enter numbers, the Dialer displays a list of similar numbers in your directory, and you can select a match to automatically enter the number.

To Initiate a Call:

  1. Do one of the following:
    • Start typing a phone number.
    • Select New Call.
    • Enter the phone number that you would like to call.
    • Pick up the handset, press the handset icon or the speakerphone icon.
  2. Enter a number or select a recent contact.
  3. Select Dial or tap the handset icon.

Place an International Call:

  1. In the Dialer, quickly press the star key * twice.
  2. A plus sign + will be displayed.
  3. Enter the remainder of the number and press Dial or tap the handset icon.

Redial a Number:

Your phone automatically keeps a record of all the calls placed on your phone. You can recall the last contact you call using the Redial icon or soft key.

Do one of the following:

  • Select Redial on the Home screen.
  • Press the Redial soft key.

Answering Audio Calls

To Answer an Incoming Call:

Do one of the following:

  • Pick up the handset.
  • Press the speakerphone icon or select Answer.
  • Press the headset icon.

After you answer the incoming call, the call becomes active.

To Answer a Call When in a Call:

When you are in an active call and an incoming call arrives on the same or a different line, a call waiting tone beeps, and the Incoming Call screen is displayed.

  • Select Answer.
    • The active call will be placed on hold, and the incoming call becomes active.

End an Active Audio Call

You can end an active call on your phone at any time.

Do one of the following:

  • Place the handset on the cradle.
  • Press End Call.
  • In the Calls screen, highlight the call and press End Call.

You cannot end calls that are on hold. You must resume held calls before ending them.

From the Calls screen, select the held call and press Resume > End Call.

Join a Teams Meeting (Audio Only)

To View Your Daily Teams Meetings:

  1. Navigate to Home Button > Calendar.
  2. Your daily calendar of meetings will be displayed.

From your Polycom VVX S4B phone, you are able to join Teams Meetings (Audio Only).

To Join a Teams Meeting:

  1. Tap on the Home button.
  2. Tap Calendar. This will show you a list of your available meetings. Select the meeting you would like to join.
  3. Once you select your meeting, the meeting information, including the Start & End Time, Location, and Organizer are available. Click Join to join the meeting.

Initiate a Conference Call

Initiate a Skype for Business conference call with Skype for Business contacts or a group of contacts on your phone.

To initiate a conference call:

  1. Press Meet Now > Invite.
  2. Select a contact and press Dial.
  3. Press Invite to add additional contacts.
    • Dial in the phone number and press the handset icon to invite them into the meeting.

To initiate a conference call with a group:

  1. Press Contacts > Groups.
  2. Select a group and press Dial All.

Conference Call Host Commands

When you initiate a conference call, you and all conference participants are listed as hosts. Conference participants with the Host icon next to their names are hosts and can manage conference participants.

As a host, you can manage call participants in the following ways:

  • Mute all participants or individual participants.
  • Remove participants from the conference call.
  • Lock or unlock a conference.

These options do not display for attendees.

To Remove a Conference Participant:

  1. From the Conference Call screen, tap on the name of the participant you would like to remove.
  2. You will be given three options: Far Mute, Remove, and Close.
  3. Tap on Remove to remove the participant from the call.
    • The removed participant will receive a notification informing them that the host has removed them from the conference.

To Mute a Participant:

  1. During an active conference, tap on the name of the participant you would like to mute.
  2. You will be given three options: Far Mute, Remove, and Close.
  3. Tap on Far Mute to mute the participant.
    • The muted participant will receive a notification informing them that the host has muted them.

To Mute all Participants:

  1. During an active conference, tap on Mute all.
  2. All participants will receive a notification informing them that the host has muted them.

To Lock a Conference Call:

  1. During an active conference, tap Lock.
    • If you do not see "Lock" on your screen, tap on More. Select Lock.
  2. Press Unlock to enable people to join the conference.
    • The conference is unlocked, and anyone can join the conference call.

Transferring Calls

To transfer a call:

  1. During a call, do one of the following:
    • Press Transfer to use the default transfer type.
    • Press and hold Transfer to use the non-default transfer type.
      • For example, if Blind is the default, press and hold Transfer to perform a Consultative transfer.
    • Press Transfer > More and select Blind or Consultative.
      • Depending on the default transfer type, either the Blind or Consultative option displays. For example, if the default transfer type is Blind, then you can select Consultative.
  2. Dial a number or choose a contact from the call list or directory.
    • If the transfer type is set to Blind, the call is transferred immediately.
  3. If the transfer type is set to Consultative, press Transfer after speaking with your contact.

Cancel a transfer:

If a contact does not answer the transfer or you want to remain speaking with the contact on your line, you can cancel the transfer before it is complete.

  • Select Cancel.
    • The call is not transferred and becomes active.

Holding and Resuming Calls

When you are in a call, you can place a call on hold and resume the call. You can place any active call on hold.

To place a call on hold:

  1. During an active call, select Hold.
    • If you're in the Calls screen, highlight the call first.
    • A hold icon (handset with a pause icon) is displayed on the line of the held call, and a red LED light flashes on the line key for all phones except VVX 201 phones.

To Resume a call:

  1. You can view and resume all held calls in the Active Call, Lines, and Calls screens.
    • Select Resume.
    • From the Calls screen, select the call to highlight it, and select Resume.

Call Forwarding

To set call forwarding, you will need to set it manually using your Microsoft Teams client.

To Set Call Forwarding:

  1. Open your Microsoft Teams client and click on your Avatar.
  2. Navigate to Settings > Calls.
  3. Select Forward my calls.
  4. Enter the full DID of the device that you would like to forward your calls to.
  5. Your calls will now be forwarded.
Contacts, Directory, & Voicemail

Add Contacts

Add your Skype for Business contacts to a Contacts list on your phone.

To add contacts to your phone:

  1. Press Contacts > Add.
  2. Enter your contact's email address and press Submit.

View Contact Information

In the contact card, you can view a contact's name, presence status, organization, work number, mobile number, and a voicemail.

To view the contact card:

  1. Press Contacts, select a contact, and press Info.
    • If you don't see the the Info button, click More > Info.

Add Favorites

When you add Skype for Business contacts as favorites in the Skype for Business client, those favorites display on your Home screen and in the Contacts list on your phone.

To add contacts as favorites:

  1. Navigate to Directories > Contact Directory.
  2. From your Contact Directory, select a contact.
  3. Select Add or Add to Favorites.
    • A notification is displayed asking if you want to automatically accept the next available index number, or manually enter your own.
  4. Select Yes to automatically accept an index number or select Edit Index to enter a unique index number.
    • You can enter a number up to 99 for VVX 201 phones or 9999 for all other VVX phones.

Viewing Favorites

You can view favorites in your Favorites list in the Directory or the New Call screen. Favorites display consecutively according to their index number. The contact with the lowest number is displayed first.

Use the Directory

You can search, call, and save contacts in the Skype for Business Directory on your phone.

To search the directory:

  1. Select Directories > Skype for Business Directory.
  2. Enter your contact's first or last name. The phone automatically displays search results.

To call contacts from the directory:

  1. Select Directories > Skype for Business Directory.
  2. Enter your contact's first or last name. The phone automatically displays search results.

To save a contact from the directory:

  1. After you find your contact, press Add to Contacts.

Call Lists

All VVX business media phones support a Recent Calls list and a Contact Directory.

Recent Calls

All VVX business media phones maintain a Recent Calls list that includes missed, received, and placed calls. Each list holds up to 100 entries.

You can perform the following tasks from the Recent Calls list:

  • Sort, order, and filter calls. By default, the list displays all call types with the most recent call displaying first.
  • Remove calls from the list.
  • Select a call record to view call details.
  • Select a call record to automatically call a contact.

To View Recent Calls:

Do one of the following:

  • Navigate to Directories > Recent Calls.
  • On VVX 500/501 and 600/601 phones, tap the clock icon in the status bar.

Voicemail

New voicemail notifications are indicated by a red icon on the top left corner of the screen. The number displayed on this icon indicates how many new voicemails you have available.

To Listen to Your Voicemails:

  1. Tap on the voicemail icon to bring up your voicemail inbox.
  2. The new voicemail will have a red icon next to it.
  3. Tap on the voicemail you would like to listen to.
  4. Tap Play. Your voicemail will begin playing. See Figure 1.

To Call Back from the Voicemail page:

  1. Tap on the voicemail icon to bring up your voicemail inbox.
  2. Tap on the voicemail that you would like to Call Back at.
  3. Tap Call. You will immediately begin dialing the caller. See Figure 2.

To Mark a Voicemail as Read or Unread:

  1. Tap on the voicemail icon to bring up your voicemail inbox.
  2. Tap on the voicemail that you would like to mark as read or unread. See Figure 3.
    • If the voicemail is unread, the button will read "Mark as Read".
    • If the voicemail is read, the button will read "Mark as Unread".

To Delete Your Voicemails:

  1. Tap on the voicemail icon to bring up your voicemail inbox.
  2. Select the voicemail that you would like to delete.
  3. Tap Delete. Your voicemail will immediately be deleted. See Figure 4.
Limitations

Due to Microsoft Skype for Business being Interoperable with Microsoft Teams, the following features do not work as intended:

  • DND (Do Not Disturb)
  • Presence Status
  • Call Parking

Call Forwarding

In order to set Call Forwarding, you will need to set it manually using your Microsoft Teams client. For more information, please refer to Call Forwarding.

Conference Calling

In order to initiate a conference call with a Skype for Business Media Phone, you will need to dial using a phone's full DID. Extension dialing is not available due to Skype for Business being interoperable with Teams.
