How To - Contacts (Overview / Adds / Changes / Deletes)

Overview

There are four possible types of Contacts:

  • Billing Contact (appears on invoice)
  • Administrative Contact
  • Service Address
  • Technical Contact

The two contacts regularly used are the Billing and Service contacts.  

The Billing address is created when setting up a new customer.

If the Billing contact is not the business's location address, for example a P.O. Box, you MUST enter the physical location address as the Service Address.

Address information should be kept up to date, as it is used to calculate taxes and for 911 data.

The system's first choice for calculating taxes is the Service address.  If there is no Service address, then the system looks at the Billing address.  

Adding a Contact

From the the Customer's account

  • Select the Contacts tab
  • Select the Add button.
  • A drop-down menu will appear with three additional Contact Types:
    • Administrative Contact
    • Service Address
    • Technical Contact
  • Select one from the drop-down menu.  For demonstration purposes, we are selecting Service Address
Adding a Contact

The following window will appear.  

Here we will create the Contact Type

  • The fields with a RED border are required information
  • Once completed, select SAVE

Next we will add the address information to the Contact Type "Service Address" we just created.

  • Click on the Contact hyperlink "Service Address"

The following window will appear

  • Click on the Add button
  • A drop-down menu will appear with the option "Address"
  • Select "Address" from the drop-down menu.

On the next window that appears,

  • Select USA from the Country drop-down menu

 

The window will update, allowing you to complete the remaining address information

  • Enter the address information
  • Select Save

Revising Contact Information

There are two locations you can make changes to contact information.

  • Overview Tab
  • Contacts Tab

From the "Overview" Tab

From the the Customer's account

  • Go to the Overview tab
  • Select the hyperlink you want to change (i.e. "Address")
From the "Overview" Tab

The following window will appear

  • You can now go int any of the fields and make changes
  • Once finished, select the SAVE button.

From the "Contacts" Tab

From the Customer account

  • Select the Contacts Tab
  • Click on the hyperlink Billing Contact
From the "Contacts" Tab

The following window will appear.

To make changes:

  • Select the Contact Point Type hyperlink (i.e. Address)

The following window will appear

  • You can now go into any of the fields and make changes
  • Once finished, select the SAVE button.

Deleting Contact Information

From the the Customer's account

  • Select the Contacts tab
  • Placing a check mark in the box to the left of the Contact (i.e. Billing Contact)
  • Select the Delete button

Deleting Only Specific Information

From the the Customer's account

  • Select the Contacts tab
  • Click on the hyperlink Billing Contact

 

Deleting Only Specific Information

The following window will appear

  • Placing a check mark in the box to the left of the information (i.e. Work Phone)
  • Select the Delete button
  • Save
